This Privacy Policy describes how ChunkLand, a registered business name of Christopher Hanton McKenzie (ABN 53 628 676 390, "ChunkLand", "we", "us"), collects, uses, and discloses information when you use The Matrix (the "Service"). We are an Australian company and operate under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. Information we collect
We collect only what we need to run the Service:
- Account information
- Email address, company name, and the number of seats on your plan.
- Setup form details
- The fields you complete on matrix.chunkland.com/download: your name, email, company, industry, operating system, document types, watched-folder location, destination folders, naming convention, and any notes. We use these to configure your Matrix install.
- Setup samples
- The sample documents (typically PDFs) you upload through the setup form or email to us. We use these to build a recognizer set tuned to your paperwork. See Section 2a for how we handle them.
- Billing information
- Payment is handled by Stripe. We never see or store your card details. Stripe returns us a customer ID and subscription status.
- License and usage telemetry
- The desktop app phones home once a week to validate your license. That call contains your license key, app version, and a machine ID and label (so you can see which devices have used your seat from the billing portal). Nothing about the documents you process at runtime is transmitted.
- Support correspondence
- If you email us, we keep the email.
2. What we do not collect at runtime
Once installed, The Matrix processes your documents locally on your computer. The contents of your scans, the recognizer outputs, the filenames the app produces, and the folder structure on your machine are never transmitted to ChunkLand at runtime. We cannot see your day-to-day scans and we have no way to recover them if you lose them.
Outlook integration data path: if you configure The Matrix to watch an Outlook inbox folder, the app reads emails and attachments through your locally-installed Outlook client using Microsoft's COM API on Windows. ChunkLand does not connect to Microsoft 365, Exchange Online, or your mail server. We do not store mailbox credentials, message bodies, sender addresses, or attachment contents. The app moves processed messages between folders inside your own mailbox; nothing leaves your computer.
2a. Setup samples and AI-assisted build
The setup phase is the one exception to the local-only data path described in Section 2. Even here, your sample document content itself is never sent to the AI sub-processor; only structural descriptors extracted from it on ChunkLand's machine.
When you submit the setup form, you affirmatively transmit sample documents to ChunkLand for the limited purpose of building your Matrix install kit. By submitting samples through the form or by emailing them to setup@chunkland.com, you authorise ChunkLand to:
- Receive, store, and read those samples on Australian and U.S.-located infrastructure listed in Section 4.
- Extract structural features from the samples on ChunkLand-controlled local infrastructure: barcode formats, field positions, layout descriptors, character class hints, regex patterns. The features describe the shape of your paperwork without including its content.
- Transmit those structural features (not the documents themselves) to the third-party AI sub-processor listed in Section 4 (Anthropic PBC, USA), strictly for the purpose of inferring recognizer patterns specific to your paperwork.
- Retain the samples for up to 30 days post-build, after which they are auto-deleted from ChunkLand-controlled storage.
What goes to the AI sub-processor. Abstract structural descriptors only. Examples of what gets sent: "barcode at top-right, Code128 format, prefix mask 'AAA-NN', 12-15 digits"; "text field at x=10%, y=12%, label-left='WO:', numeric 8-10 digits"; "vendor field at x=5%, y=20%, length range 3-40 chars, title case". The sample document content (your customer names, supplier names, work-order numbers, amounts, dates, attached photos) does not leave ChunkLand's local machine. This is architectural, not just a contractual commitment.
What is NOT sent to AI sub-processors. Runtime scans, customer lists, license details, billing information, your installed Matrix's operational data, the raw text of your sample documents, and the raw images / OCR output of those samples. The AI-assisted step is bounded to the structured-feature payload described above, processed once during build, and not used thereafter.
No model training on your data. The AI sub-processor's terms (Anthropic Commercial Terms of Service) prohibit Anthropic from using API inputs to train their models. ChunkLand's account is configured for Zero Data Retention, meaning the sub-processor does not retain the structured-feature payload beyond the duration of the request. ChunkLand does not use your samples to train any internal model.
Audit log. ChunkLand maintains an immutable, hash-chained, HMAC-signed audit log of every payload sent to AI sub-processors. The log records the timestamp, destination, customer reference, payload SHA-256 hash, and encrypted payload content. Each entry includes the hash of the previous entry, so tampering with any historical row is detectable. Daily entries are externally trusted-timestamped (RFC 3161) so the log cannot be fabricated after the fact. Audit logs are retained for seven years to meet Australian record-keeping obligations under the Limitation Act 2005 (WA) and the Evidence Act 1995 (Cth). Customers may request a copy of the log entries for their customer reference at any time by emailing privacy@chunkland.com.
3. How we use the information
- To provide and validate the Service.
- To bill you (via Stripe).
- To send you service emails. License keys, receipts, critical security notices.
- To respond to your support requests.
- To notify you about major product changes. You can opt out of non-critical email at any time.
4. Who we share it with
We share the minimum necessary with the following sub-processors:
- Stripe, Inc. (USA). Payment processing and subscription management. Receives: customer email, billing address, payment method details.
- Resend (Appliqate, Inc.) (USA). Transactional email delivery (license keys, receipts, setup confirmations). Receives: customer email, email subject + body.
- Anthropic PBC (USA). Cloud AI used at build time only to assist in inferring recognizer patterns from setup samples. Receives: redacted sample documents or extracted structural features. Does not receive runtime scans, customer lists, or operational data. Anthropic's Commercial Terms of Service prohibit use of API inputs for model training.
- Google LLC (USA). Google Workspace hosting of the
setup@chunkland.commailbox where customers transmit samples. Receives: emails customers send to that address, including their attached samples. - Vercel, Inc. (USA). Marketing website hosting + transient Blob storage for sample-document uploads (deleted within minutes of the email send).
- Fly.io (Hawthorn Labs, Inc.) (USA). License API hosting.
- GitHub, Inc. (USA, Microsoft subsidiary). Public release-artifact hosting.
We do not sell your information. We do not share it for advertising. We do not use customer-supplied samples to train any AI model, and our AI sub-processor is contractually prohibited from doing so.
5. How long we keep it
Account and billing records are retained for seven years after your last activity, to meet Australian tax and record-keeping obligations. Setup samples are retained for up to 30 days post-build and then auto-deleted. The AI-sub-processor audit log described in Section 2a is retained for seven years. Support emails are retained for three years. Telemetry (validation pings) is retained for 90 days for troubleshooting and then discarded.
6. Your rights
You can request a copy of the information we hold about you, correct it, or delete it at any time by emailing privacy@chunkland.com. We will respond within 30 days.
7. Security
We encrypt data in transit (TLS 1.2+) and at rest in our backend database. License keys are stored hashed. Access to production systems is limited to named personnel and protected by MFA.
8. Changes
We'll update this page if we change how we handle your data, and we'll email you if the change is material.
